GFA Consulting Group is looking for a proactive and detail-oriented Administrative Support Officer to join our team in Ghana as part of the National Service Personnel program. This position offers an excellent opportunity for a recent university graduate to gain practical experience in international development, project management, and business operations. As a key support to the GFA Country Representative, the successful candidate will contribute to the smooth functioning of day-to-day operations, including project acquisition and implementation, administrative coordination, financial tracking, and external communications.

Your tasks

1. Administrative Support

  • Schedule and coordinate meetings, appointments, and travel arrangements;
  • Maintain office filing systems (physical and digital);
  • Draft and format correspondence, reports, presentations, and other documents;
  • Manage incoming and outgoing communications (emails, calls, visitors).

2. Project Acquisition & Proposal Support

  • Conduct background research on development topics, donors, and project opportunities;
  • Assist with compiling and formatting CVs, company profiles, and proposals;
  • Support in monitoring calls for tenders and gathering submission documents;
  • Liaise with local and international partners for required documentation.

3. Project Implementation Support

  • Assist with logistics, planning, and documentation for project activities and events;
  • Monitor project timelines and prepare progress checklists;
  • Support the compilation of financial and narrative reports under supervision;
  • Assist with procurement and service contract documentation.

4. Financial & Logistical Oversight

  • Support in tracking expenditures, preparing expense reports, and organizing receipts;
  • Liaise with local service providers and vendors for quotations and invoices;
  • Support petty cash management and monthly reconciliations under the guidance of the country representative or finance team.

5. Networking & Communications

  • Assist in updating contact databases and business development materials;
  • Represent GFA at events and workshops where necessary (under supervision);
  • Support the preparation of newsletters, briefings, and online content.

Your profile

  • Bachelor’s degree in Business Administration, Development Studies, International Relations, or a related field;
  • Excellent written and spoken English; working knowledge of French is a plus;
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook);
  • Highly organized with strong attention to detail and follow-through;
  • Strong interpersonal and communication skills;
  • Ability to work independently and multitask in a fast-paced environment;
  • Interest in international development and project-based work.
